Rep Team Tips

Spring Tryouts:
  • Prepare a Tryout Letter to hand out at each tryout.
  • All girls from outside our organization must have a Permission to Skate form signed by their organization before being allowed on the ice.
  • List girls you want to return to next tryout. Final Cut is a phone call to the players you want to sign first, then if one changes her mind you can select the next on the list.
  • Residency Rule:
    • Novice/Atom/Peewee, A/AA teams: 60% of players must be residents. B/BB teams: 80%,
    • Bantam/Midget A/AA, Intermediate A: 50%. B/BB teams: 75%.
    • All C teams: 90%
  • Prepare a team budget. If you decide to purchase additional practice ice or off ice training, you need to arrange for it apart from the SMGHA ice. Inform the parents of this extra time and cost commitment before they agree to sign up to be on the team. Determine the Team Fee Payment schedule. Initial Down Payment is required and full fees must be paid by Dec 1.
  • Assign Parents Duties. Coaches and Trainers require up to date certification + PRS and a yearly Police Check (Form has to be signed by Dianne first).
  • If you want reimbursement for Trainer/Coach/Speak Out certification it will come out of the team budget.
  • Decide if you are going to have a team website. If you have pictures and/or information about the girls it must be Password Protected. At the minimum put up team contact info. Facebook Groups should be by invitation only by the admin of the group and kept to the players and their parents only.
  • Arrange a Parent's Meeting after the first team practice, which takes place on the final tryout ice.
  • During the first team practice take Jersey orders for the girls. Manager should then order immediately as waiting until August camp is too late.
  • Decide if you are going to do any Summer get togethers/fundraisers.


August Hockey Camp:
  • Last week in August is a 4-day (Mon - Thu, during the day) Rep Camp 1.5 hours/day shared ice.
  • At the Camp Room, Mom's size the girls for tracksuits and any other team clothing. Manager to consolidate the team order.
  • All Player release forms from girls new to our organization are to be handed in, if not already done.
  • Collect first fees payment.
  • Dianne will give a petty cash fund to be used by the Manager to cover home game costs for referee and timekeeper fees.
  • Let Dianne know which Tournaments you plan to attend so ice can be arranged around them.


September:
  • Attend Rep Coaches and Manager Meeting around Labour Day.
  • Initial practice ice is after Labour Day. Do not book any away Exhibition Games until you receive your ice.
  • Exhibition Games should be booked in Sept to ensure your team is at the correct level. Split the cost with the other team instead of a home & home, to allow you to play against more teams.
  • Booking home Exhibition Games are done by sending an email to Dianne first before confirming with the other team. She will let you know which dates are ok for games.Dianne will try to group games from different teams together to make it easier to book the Referee's and timekeepers, which she does for us.
  • Dianne is to be informed of all away games, then she knows which nights you are free if she has to move ice times.
  • Home Team pays for the Referees and Timekeepers before the game. Check 15 min before game time to ensure that all the officials are present. Have one parent trained up to be a Timekeeper and keep the Ref Schedular's phone number with you.
  • Timekeeper instructions:
  • Manager will be given access to the Manage-To-Win (MTW) system. We use this to enter team information and game results. Make sure you fill out contact information including jersey # and players. Put in jersey number order. You must enter all of your players and bench staff into the site.
  • End of Sept is the scheduling meeting for A, AA and Senior teams.
  • Decide on how you are going to select your Captains and 3 Assistants. Girls vote or Coaches select.


October - February:
  • Oct 1 is the last opportunity to change the level your team is going to play with the OWHA, but this should be decided as early as possible.
  • Mid Oct is the scheduling meeting for BB/B/C teams. Dianne will give you your ice before the meeting. The ice times are broken down into a) mandatory game time, b) optional game time, or c) practice ice (don't book a game during practice ice). Don't send out your games until after it has been consolidated by Dianne. Dianne will try to group games from different teams together to make it easier to book the referees and timekeepers, so your times may change.
  • League Games
    • Purchase Avery clear labels - get the large sheet and then cut them. There is an ability to print your game sheet labels from the site and you must use these for the LLFHL league games. There is a fine if you don't use these labels.
    • Manager must enter Goals/Assists/Penalties on the MTW system for Home and Away games. Home games pay the referees and timekeepers before the game and after the game the white gamesheet must be faxed in within 48 hours.
    • If you need to re-book a game/time, send an email to your division rep who can change the details on MTW. Ask the rep to generate the division team contact list. You can then use this if you need to reschedule a game due to bad weather etc. For games re-scheduled with less than 24 hours notice, the referees and timekeepers still have to be paid. With the exception of bad Weather you are allowed 3 game date changes before a monetary penalty is assessed.
    • Check the gamesheet before the referees leave to ensure that it is correct. Game Misconducts have to be faxed into the Discipline Chair. If there is a Match Penalty the referees will keep the white sheet.
  • Tournaments
    • Ensure that you check with your entered tournaments a few weeks before to make sure that they will still be hosting your division level. If it looks like your entered tournament may not have enough teams then you need to find a spot in an alternate tournament quickly, hopefully the same weekend.
    • Call-ups work the same as they do for League Games and you must fill out an OWHA Player Pickup Consent Form signed by the player's coach. This form must be submitted to the tournament registrar before the first game the team is playing in the tournament. They can't be added in the middle of the tournament. A girl may play with only one team in the same tournament.
  • Suspensions
    • In cases where a player or team official is serving a suspension that does not require a hearing and is a maximum of 2 games, that player or team official may participate in all OWHA sanctioned activities except hockey games for the duration of the suspension. The suspended individual is not permitted on or near the bench or dressing room during these games. Exhibition games are not eligible for serving a suspension but all other games including tournaments are.
    • Game sheets should be recorded as Suspension Game 1 of 2 for example.
  • Dec 1: deadline to submit a APPLICATION TO REQUEST OWHA TEAM CATEGORY REVIEW.
  • Early Dec: deadline to submit your Form A which details all the games you have played so far.
  • Jan 15: registered girls must of played 5 League Games to be eligible for Playoffs.


February Playoffs/Playdowns:
  • LLFHL Playoffs start in Feb with 1 team from each area moving on to the playoff weekend in April.
  • OWHA Provincial Playdowns: we are notified in Feb who we are playing. It will be against teams in our regional area, if they have a team at that level..Usually made up from: Georgina, Aurora, King City. One team from each region moving on to the playdown weekend in April.
  • Final Form A must be submitted after last tournament/league game.


FAQs:
  • How do I Call Up ?
Call-ups are permitted if your team is short a regular player as long as it isn't because of suspension and it doesn't take you above your registered number. Ie. you have 14 registered players with 1 sick/away you can call-up 1 player to take you to 14 but you cannot call up 2 players to take you to 15. You may call-up from a level or division below. Ie. Bantam B can call-up Bantam C or Peewee B,C . Just mark CU on the Game Sheet. Maximum of 3 call-ups per game. No limit on number of times the same girl is called up however they are not permitted for Playoffs or Playdowns.
  • What is a Request to Review another team ?
We are self policing so if you feel that a team is too strong please fill in this form and fax it to the number on the form. Dianne doesn't need to be involved. This raises a red flag and you have no further involvement. It is then between the OWHA and the team in question.
  • What if it is my team that is being reviewed ?
If you are the team being reviewed than you have to submit your Form A and an accompanying letter to justify why you shouldn't move up. Data like "shots on net" and how you have done against teams lower or higher than you will help. If required the decision can be appealed and you have another chance to submit a further justification letter.
  • What if my team is still moved up after the Appeal ?
You complete the rest of the League Games but you are no longer eligible for League Playoffs. You can compete in any already entered tournaments at your current level for the next 30 days, after that you must compete at your new higher level. You have to compete in the Provincials at the new higher level.
